Data Deletion Instructions

1. What Data Can Be Deleted

You may request deletion of the personal information we collect directly from you, such as:

• Name, email address, phone number, and company name
• Demo request and contact form submissions
• Account information (if you have an account at app.thecareguides.com)
• Communication history with our team
• Any authentication tokens or connected-account data (e.g., Google, Microsoft) granted to our Services

2. Data Processed on Behalf of Our Customers

If your information was provided to us through one of our customers (a company using our Services), that customer is the controller of your data and we act as a service provider / data processor — and as a HIPAA Business Associate when Protected Health Information (PHI) is involved.

In that case, please direct your deletion request to the company that collected your information. We will assist them in fulfilling valid requests as required under our agreement and applicable law.

3. How to Request Data Deletion

To request deletion of personal information that The Care Guides holds directly about you, send an email to:

Subject line: Data Deletion Request

Please include the following in your message:

• Your full name
• The email address and/or phone number associated with your data
• The company name (if applicable)
• A brief description of the data you wish to delete (or "all my personal data")
• Confirmation that you are the data subject or are authorized to act on their behalf

4. Verification

To protect your privacy, we will take reasonable steps to verify your identity before processing the deletion request. We may ask for additional information to confirm that the request is legitimate.

5. Response Time

We will acknowledge your request within 7 business days and complete the deletion within 30 days of verification, unless a longer period is permitted by applicable law. If we are unable to fulfill your request (for example, due to legal retention obligations), we will inform you of the reason.

6. Data We May Retain

Some information may be retained after a deletion request when required to:

• Comply with legal, tax, accounting, or regulatory obligations (including HIPAA recordkeeping requirements)
• Resolve disputes or enforce agreements
• Detect or prevent fraud and protect security

Any retained data will be securely stored and access will be restricted to authorized personnel only.

7. Revoking Third-Party App Permissions

If you connected a third-party account (such as Google, Gmail, Google Calendar, Outlook, or Microsoft 365) to our Services, you can also revoke our application's access directly from that provider's security settings:

• Google: myaccount.google.com/permissions
• Microsoft: account.microsoft.com/privacy

Revoking access stops further data sharing with us but does not delete data already stored. To delete that data as well, follow the request process above.
